Carbon Reduction Plan

Prepared in accordance with PPN 06/21 and the associated Technical Standard for Completion of Carbon Reduction Plans

Supplier Name: HealthOrbit AI Ltd

Publication Date: 1 July 2026

Commitment to Achieving Net Zero

HealthOrbit AI Ltd is committed to achieving Net Zero emissions by 2035. This commitment covers a 90% absolute reduction in emissions from the organisation’s baseline, and does not rely on carbon offsetting, tree planting, or the purchase of carbon credits to meet the target.

Baseline Emissions Footprint

Baseline emissions are a record of the greenhouse gases produced by HealthOrbit AI prior to the introduction of any emissions reduction strategies, and form the reference point against which future emissions reduction is measured.

Baseline Year: 2025 (1 Jan – 31 Dec 2025)

Additional Details Relating to Baseline Emissions Calculations

HealthOrbit AI had not previously undertaken a formal, GHG Protocol-aligned assessment of its organisational emissions. In line with the CRP guidance provision for organisations measuring for the first time, the baseline year and reporting year for this Plan are the same: 2025.

Methodology note: HealthOrbit AI operates a remote-first delivery model with no owned or controlled premises requiring on-site fuel combustion or purchased electricity – Scope 1 and Scope 2 emissions are confirmed as nil on this basis. HealthOrbit AI’s registered address does not constitute a staffed office. Employee commuting is confirmed as nil, as the entire team works remotely and does not travel to a work location. Waste generated in operations, and upstream and downstream transportation & distribution, are confirmed as not applicable, as HealthOrbit AI has no physical premises and does not distribute physical goods. Business travel, calculated using UK Government (DESNZ) 2025 conversion factors, accounts for the entirety of Scope 3 emissions reported. The business travel figure reflects an internal estimate of total distance travelled by company personnel during the period, provided by HealthOrbit AI; a full reconciliation against expense system records is planned as part of the next annual update to this Plan.

Emissions Reduction Targets

With a baseline now established at 0.13 tCO2e for the 2025 reporting year, HealthOrbit AI will adopt quantified year-on-year carbon reduction targets in its next Plan update. Annual progress will be published and reviewed at least annually in line with PPN 06/21.

Environmental Management Measures Already in Effect

The following environmental management measures are embedded in HealthOrbit AI’s current operating model and will remain in effect during the performance of any contracts awarded under this framework:

  • Remote-first delivery model: HealthOrbit AI operates as a distributed, remote-first organisation. Implementation, training and support are delivered remotely by default, minimising business travel and eliminating the need for commercial office premises and their associated energy use.
  • Cloud-only infrastructure: HealthOrbit AI’s platform runs entirely on Amazon Web Services (AWS) cloud infrastructure, with no company-owned or company-operated servers or data centres. This avoids the embodied carbon and direct energy consumption associated with owned hardware estates.
  • Paperless by design: HealthOrbit AI’s clinical documentation products are built to remove paper-based processes from clinical workflows, reflecting a paperless-by-design approach across the organisation’s own operations as well as those of its customers.

Future Carbon Reduction Initiatives

In the future, HealthOrbit AI intends to implement further measures, including:

  • Reconciling the business travel estimate in this Plan against full expense system records as part of the next annual update.
  • Reviewing and updating this Carbon Reduction Plan at least annually, within six months of HealthOrbit AI’s financial year end, in line with PPN 06/21.
  • Engaging key suppliers and delivery partners to confirm they hold a published environmental policy or Carbon Reduction Plan.
  • Giving preference, where feasible, to suppliers holding recognised environmental accreditation (for example ISO 14001) or an equivalent published Carbon Reduction Plan.
  • Monitoring the energy efficiency of its cloud infrastructure using AWS’s sustainability reporting tools.

Note: the initiatives above are proposed and pending internal confirmation before publication.

Declaration and Sign Off

This Carbon Reduction Plan has been completed in accordance with PPN 06/21 and the associated guidance and reporting standard for Carbon Reduction Plans.

Emissions will be reported and recorded in accordance with the published reporting standard for Carbon Reduction Plans and the GHG Protocol Corporate Standard, using the appropriate UK Government emission conversion factors for greenhouse gas company reporting.

Scope 1 and Scope 2 emissions will be reported in accordance with SECR requirements, and the required subset of Scope 3 emissions will be reported in accordance with the published reporting standard for Carbon Reduction Plans and the Corporate Value Chain (Scope 3) Standard.

This Carbon Reduction Plan has been reviewed and signed off by the board of directors (or equivalent management body) of HealthOrbit AI Ltd.
